Enrolment Policy

1. Purpose

This Enrolment Policy sets out the requirements and procedures for enrolling on programmes offered by DCU International Academy (DCU IA). It applies to both individual students/customers and group bookings.

A booking is subject to programme availability, acceptance by DCU IA and receipt of the required fees within the specified deadlines.


2. Individual Enrolments

2.1 Application and Booking

Individual students/customers may apply for a programme through the DCU IA online application system:

At the application stage, the Customer/Student must provide the required programme details, including:

  • Preferred programme;
  • Programme dates;
  • Programme specification; and
  • Relevant attendee/student information.

DCU IA will review the booking request and contact the Customer/Student to confirm whether the requested programme, dates and specification are available.

2.2 Programme Availability

DCU IA operates with limited programme capacity. Submission of an application does not constitute confirmation of a booking.

Where the requested dates or programme specification are unavailable, DCU IA may propose alternative dates or arrangements.

Customers/Students are encouraged to submit booking requests as early as possible to maximise the possibility of securing their preferred programme dates and specification.

2.3 Registration Fee

A non-refundable programme registration fee of €100 per student applies to individual bookings.

The registration fee:

  • Is payable at registration stage;
  • Is deducted from the student’s overall programme fees; and
  • Is non-refundable if the Customer/Student does not proceed with the booking or does not attend the programme.

Payment of the registration fee alone does not constitute confirmation of the programme booking.

2.4 Booking Confirmation

Following acceptance of the booking, DCU IA will issue an invoice setting out:

  • The programme booked;
  • Programme dates;
  • Programme specification;
  • Total amount payable;
  • Payment requirements; and
  • Applicable payment details.

A booking is only considered confirmed once 100% of the applicable programme fees have been received by DCU IA.

2.5 Travel Arrangements

Customers/Students must not arrange flights or make non-refundable travel arrangements until DCU IA has confirmed the booking and availability in writing.

DCU IA will not be responsible for consequential losses arising from travel arrangements made before confirmation where DCU IA is unable to accept the booking on the requested dates.

Customers/Students are responsible for making their own travel and medical insurance arrangements to protect against potential loss.


3. Group Enrolments

3.1 Group Registration

Group bookings must be made using the DCU International Academy Group Registration Form.

DCU IA staff will provide the Group Registration Form to the Group Organiser upon confirmation that the group booking request has been received.

At registration stage, the Group Organiser must provide:

  • Proposed programme dates;
  • Final programme specification;
  • Group requirements; and
  • Relevant information relating to the members of the group where required.

DCU IA will review the request and confirm whether it has the capacity and ability to accept the group booking.

3.2 Programme Availability

DCU IA has limited capacity for group programmes.

Submission of a Group Registration Form does not constitute confirmation of the booking.

Where the requested dates or specification are unavailable, DCU IA may propose alternative dates or arrangements.

Groups are encouraged to submit booking requests as early as possible to secure their preferred dates and programme specification.

3.3 Group Registration Fee

A non-refundable programme registration fee of €1,000 per group applies to group bookings.

The registration fee:

  • Is payable at registration stage;
  • Is deducted from the overall group programme fees; and
  • Is non-refundable where the Group Organiser does not proceed with the programme after payment of the registration fee.

Payment of the registration fee does not by itself constitute confirmation of the group booking.

3.4 Group Booking Confirmation

Following acceptance of the group booking, DCU IA will issue a pro forma invoice to the Group Organiser setting out:

  • Programme details;
  • Programme dates;
  • Programme specification;
  • Total fees payable; and
  • Payment details.

The programme booking is only considered confirmed once 100% of the applicable fees have been received by DCU IA.

No preparation or procurement of services for the group will take place until full payment has been received.

3.5 Group Travel Arrangements

Groups must not arrange flights or make non-refundable travel arrangements until DCU IA has confirmed the group booking and availability.

DCU IA will not be responsible for consequential losses arising from travel arrangements made before confirmation where DCU IA is unable to accept the group on the requested dates.

Groups are responsible for obtaining appropriate travel and medical insurance to protect against potential losses.


4. Programme Specification and Included Services

The programme specification agreed between DCU IA and the Customer, Student or Group will be expressly stated in the applicable invoice and, for group bookings, the Programme Proposal.

Only services expressly identified in the invoice or Programme Proposal are included.

No additional services, facilities or arrangements should be assumed or considered included unless expressly confirmed by DCU IA in writing.


5. Fees and Payment

5.1 Payment Requirement

Following acceptance of an individual or group booking, DCU IA will issue the applicable invoice or pro forma invoice.

Payment is due immediately upon receipt of the invoice.

100% of programme fees must be received before a booking is confirmed.

5.2 Payment Deadline

All fees relating to DCU IA programmes must be paid no later than six weeks before programme commencement.

A late payment fee of €170 per student will apply to late payments.

5.3 No Credit Facility

DCU IA does not provide credit facilities to individual Customers/Students or Groups.

Programme fees must therefore be paid in accordance with the applicable invoice and payment deadlines.

5.4 Payment Methods

Payment may be made by:

  • International bank transfer; or
  • Credit card through the DCU IA online payment facility:

www.english.dcu.ie/apply/pay-online

Payment instructions and relevant account details will be provided on the applicable invoice.

5.5 Bank Transfer Charges

The Customer/Student or Group is responsible for all sender fees, bank charges and other costs associated with international bank transfers.

The full amount due to DCU IA must be received after any applicable transfer charges have been deducted.


6. Failure to Meet Payment Requirements

Failure to meet the applicable payment deadline may result in cancellation of the booking.

Where DCU IA cancels a programme booking due to failure to meet payment requirements, the Customer/Student or Group may be liable for consequential losses arising from that cancellation.

A booking that has not been fully paid is not considered confirmed.


7. Responsibilities of Customers, Students and Group Organisers

Customers, Students and Group Organisers are responsible for:

  • Providing accurate booking and student information;
  • Clearly specifying requested programme dates and requirements;
  • Paying all applicable fees within the required deadlines;
  • Ensuring that all travel arrangements are made only after booking confirmation;
  • Obtaining appropriate travel and medical insurance;
  • Reviewing the programme specification and services stated on the applicable invoice or Programme Proposal; and
  • Complying with applicable DCU IA terms, conditions, policies and programme requirements.

8. Key Enrolment Principles

All enrolments with DCU International Academy are subject to the following principles:

  1. Application does not equal confirmation — a booking is subject to DCU IA acceptance and programme availability.
  2. Capacity is limited — alternative dates may be offered where requested dates are unavailable.
  3. Registration fees are non-refundable — €100 for individual bookings and €1,000 for group bookings.
  4. Full payment is required — bookings are not confirmed until 100% of programme fees have been received.
  5. Six-week payment deadline — all programme fees must be paid at least six weeks before programme commencement.
  6. Late payment fee — €170 per student applies to late payments.
  7. Travel should only be arranged after confirmation — DCU IA is not responsible for consequential losses resulting from travel booked before confirmation.
  8. Insurance is the customer’s responsibility — Customers/Students and Groups are responsible for appropriate travel and medical insurance.
  9. Only specified services are included — the invoice and, for groups, the Programme Proposal define the agreed programme specification and included services.
  10. No credit is provided — programme fees must be paid within the required payment timeframe.

9. Policy Administration

DCU International Academy may update this Enrolment Policy, programme information, procedures and payment requirements from time to time.

Customers, Students, Group Organisers and third-party representatives are responsible for following the requirements communicated by DCU International Academy in relation to their booking.
